ESSENTIAL DUTIES: The Senior Secretary performs administrative support duties and assistance to the Mandatory Arbitration Program generally, the Mandatory Arbitration Administrator (Cook) and the Deputy Administrator – Mandatory Arbitration. This position requires a high level of discretion and confidentiality in all aspects of work. Please note, this is a full-time in-person position and does not allow for remote work.

Functions include:

  • Performs secretarial duties for the mandatory arbitration program management as well as other staff when needed.
  • Coordinates office support activities, including delegating logistical support duties to staff members when needed.
  • Prepares various correspondence, including but not limited to, meeting minutes, memorandums for staff, administrative schedules, and invoices for mandatory arbitration administrators.
  • Answers and forwards phone calls, sorts, and delivers mail to staff.
  • Maintains office equipment contracts and schedules servicing (i.e. copiers, fax machines, postage meters, AED equipment, etc.).
  • Works with AOIC to manage office needs, including inventory and purchasing of office supplies.
  • Creates and maintains personnel documentation in compliance with the Office of the Chief Judge and the AOIC requirements.
  • Prepares and maintains office procedure manuals, report production and retrieves necessary information as requested.
  • Prepares and processes office support invoices for delivery to the Comptroller’s Office for payment, including PR’s, annual contracts and arbitrator payment invoices.
  • Maintains property inventory and prepares annual inventory in compliance with AOIC protocol.
  • Works with Office of Building on facility needs, including registering guests in building security platform.
  • Performs other duties as assigned.

EXPERIENCE, EDUCATION, AND TRAINING REQUIREMENTS: Three years of office experience and education or training equivalent to an associate’s degree is required. Bilingual in Spanish is preferred. The candidate should possess excellent computer skills, including proficiency with Word, Outlook, Excel, and Access plus a working knowledge of videoconferencing platforms such as Zoom, Microsoft Teams and Cisco Webex; must have the ability to provide assistance initiating and processing personnel reports, correspondence, budget, purchasing and related administrative office support; must have the ability to organize assignments, to stay on task and meet all required deadlines; must possess excellent written and oral communications with an aptitude for discretion and confidentiality; must have the ability to work, interact, and integrate with all levels of court stakeholders.

PHYSICAL REQUIREMENTS: This position requires the ability to retrieve files and sit for extended periods of time. This is a normal office environment requiring telephone and computer usage and the ability to process written documents.
